POSITION: Child & Family Support Services Program Assistant
HOURS OF WORK: Permanent Full time (35 Hours/week)
REPORTS TO: Director of CFS
WAGE RANGE: Starting at $24 & up Hourly

The Child and Family Support Services Program Assistant, under the direction of the Child and Family Support Services Director and Executive Assistant, provides administrative and program support to the Child and Family Services department. This role assists with the coordination and delivery of programs and initiatives that support children, youth, and families within the SȾÁUTW̱ First Nation community.

This position contributes to the effective delivery of culturally grounded prevention and family support services by supporting program logistics, maintaining records, assisting with reporting requirements, and coordinating community programming activities.

The Program Assistant works collaboratively with departmental staff to ensure services are organized, responsive, and aligned with SȾÁUTW̱ First Nation’s vision for family wellness, cultural integrity, and community support.

KEY RESPONSIBILITIES

Administrative Operational Functions and Responsibilities:

  • Serve as the first point of contact for clients, community members, and visitors, providing a welcoming and professional environment.
  • Answer phones and respond to inquiries in a courteous and professional manner.
  • Provide administrative support to the Child and Family Services team including scheduling, correspondence, and document preparation.
  • Assist with maintaining accurate program records and files in accordance with departmental procedures, funding agreements, and legislative requirements.
  • Support the preparation of quarterly and annual narrative and statistical reports.
  • Assist with data entry, file management, and tracking program participation and service delivery activities.
  • Maintain organized records management systems for departmental documents and program files.
  • Coordinate meeting logistics, including agendas, minutes, and distribution of materials.
  • Assist with procurement of program supplies and coordination of program resources.
  • Support communication with internal departments and external partners as directed.

Program Service Delivery Responsibilities:

  • Assist with the coordination and scheduling of community programs, workshops, and family support activities.
  • Support staff in preparing materials and resources for prevention and family wellness programming.
  • Assist with organizing community events and activities that promote child, youth, and family well-being.
  • Provide logistical support for community outreach initiatives and engagement activities.
  • Maintain accurate participant records and assist with tracking program outcomes.
  • Support the implementation of culturally relevant programming that strengthens family and community connections.
  • Identify and communicate emerging program needs or operational issues to the Manager.

Human Resources:

  • Work collaboratively with departmental staff to support program coordination and service delivery.
  • Participate in team meetings, training sessions, and professional development opportunities.
  • Maintain professionalism, confidentiality, and respect in all interactions with staff and community members.
  • Follow organizational policies, procedures, and ethical standards related to service delivery and administrative practices
  • Contribute to a positive and collaborative team environment.

EDUCATION & EXPERIENCE

  • Diploma, certificate or training in Office Administration, Business administration, Community Services, or a related field relevant to the position
  • Minimum of 2 years experience providing administrative or program support in a community, social service or organizational setting
  • Experience supporting program coordination, community events, or service delivery initiatives is considered an asset
  • Knowledge of community services and resources for children and families is considered an asset
  • Strong proficiency in Microsoft Work, Outlook, and Power Point
  • Strong organizational and time management skills
  • Ability to maintain confidentiality and demonstrate professionalism in all aspects of work
  • Must provide a clear Criminal Record Check, including the Vulnerable sector

WORKING CONDITIONS

  • Office-based with use of standard office equipment
  • Occasional travel for meetings and events
  • Occasional evening or weekend work to meet community and organizational needs
